This article gives a brief overview of the new feature highlights and may help to prepare some training materials for the users.

The client, designer and management studio in particular offer new features and a better handling.

enaio® redline client

Home Screen

The new home screen offers a comparable look and feel to the old one. Instead of listing favorites, however, it now shows the last 10 changed objects. Favorites can also be accessed by clicking the favorites symbol in the enaio® bar.

Search Field

The search field on the home screen remembers former search terms as well as those entered into the search dialog and vice versa.

Searching on two or more terms is more Google-like now. Multiple search terms are with the AND operator instead of OR. You can configure the search to use OR instead.

Search Dialog

Search has been extended with an expert mode that can be opened by clicking the symbol on the right in the full text search field. In this mode, the user can type special search syntax for complex search requirements.

Search Result

The "search result" view in the object area shows all object aspects, making it possible to work on an object in this view. The object area is only updated when the user stops browsing.

If no column filters are set, the list is sorted by relevance. Objects with more versions and objects that were just edited are more relevant and appear at the top.

The result list configuration supports the repositioning of columns using drag and drop.

The resizing of list columns is remembered locally.

The filter control for columns has been optimized.

Filtering and sorting is done on the server as long as the list is not completely loaded in the client. Once the list is completely loaded, filtering and sorting is done in the client. The additional filter for all index data fields in client 3.x has been removed since it is no longer necessary.

To execute an object action for all marked objects in a list, use the 3-dot menu. This menu lists only the currently available items for multiple actions.

Grouping the list is no longer supported. Here will come a new way to see the amount of group fields within version 5.

New Controls

Area Control

With the new area control, you can hide areas in a view to make more room to display other areas.

The object area on the right can be undocked and moved. This new browser window runs as slave synchronous to the lists as master.

Start Process

By clicking a new symbol in the enaio® bar, you can start a process without an object reference, such as a leave request.

This control replaces “Further actions” in enaio® version 3.3.

Paste a Cut or Copied Object

Clicking the symbol for cut or copied objects in the enaio® bar opens a control with which you can paste these objects.

Date-Time Picker

A control supports the selection of time as well as the date and year. Corresponding formats help you type the correct date and date time values.

When performing a search, a new operation mode can be used to search a range.

Numeric Field

When performing a search, a new operation mode can be used to search a range.

Multi-value Field

Deleting chips has been optimized.

String Field

Validation is supported by regular expressions.

Reference Field

The suggestion list now offers the values as they are stored in the referenced fields, instead converting them all to lower case.

Using references, you can open the referenced object in a new browser tab.

Folder Navigation

The new object view consists of three areas and is a combination of the former folder and object view. The navigation tree is on the left, the object list of the selected structure element in the middle, and the object details on the right.

Structure tree: Marking a structure element refreshes the object list. The structure is configured in enaio® designer.
A filter can be used to find relevant objects in this folder.

Object area: The aspects (summary, index data, history, references, preview and configured plug-ins) can be re-positioned by dragging & dropping the tabs. This new configuration can be saved per object type.

Inbox

The new “inbox” consists of three areas: 

  • List of notifications – the same look & feel as in the previous client.
  • Task area – comparable to the previous client. Consists of the aspects 'Task', 'Process history' and 'Process file'. All buttons of the aspect 'Task' are now displayed at the bottom of the screen, offering an improved handling of the forms.
  • Object area – now a separate area from the task area.


Note

Because enaio no longer uses server-side events (sse), new notifications are not directly shown when the number by the inbox symbol changes. To update the number, reload the client by pressing F5.

Favorites and Notifications

Using “Favorites” and “Notifications”, you can work on objects without having to open them.

Versions

New actions support sending the original content file of the marked versions with email.

Custom Actions can be used as well, such as to call an external tool to compare two marked versions.

To open this view, click the version number in the object's history aspect.

My Processes

The structure of “My processes” is similar to the inbox:

  • List of processes on the left
  • Process area in the middle, with the aspects 'Process history' and 'Process file'
  • Object area on the right.

Stored Queries

A new view makes it easier to manage stored queries. You can access a stored query using the main menu, or by making it a favorite and then selecting it from the home screen.

Object Actions

Each action in the object action menu has now a leading icon for easier use.

The actions “Open in context” and “Open versions” open the corresponding view in a new browser window.

The action for starting a process opens the same control for a start form as with the Start Process control, described previously.

The start form and custom action scripts have access to the index data of the marked objects, so the form business logic can react to individual object data.

Finalization: Users with the corresponding right can finalize an object. Users with administration right can undo a finalization.

BPM Task Actions

New task actions make it possible to open internal or external URLs. This can be used to support users with additional business logic.

Forwarding tasks can now be inactivated until the user has entered all necessary data.

Settings

Substitutes: The user can see which user has set him as substitute and whether that user is absent.

Cache: The user can reset the cache by clicking ‘Clear application cache’. This causes the application to ask the server for all system information again. Note that in doing this, the user loses all locally-stored settings, such as the result list column width, and the tabs settings in the object area.

Keyboard Support

You can access most application actions using keyboard shortcuts. You can find a list of all keyboard shortcuts in our release documentation.

Capabilities

A system-wide configuration within enaio® management-studio allows the administrator to hide groups of functionalities (capabilities) from users, such as subscriptions, follow-ups, BPM including inbox, notifications, my processes, or creating new objects or starting processes.

enaio® designer

Offline Capability

You can use designer without an active connection to a server. A connection is only needed for transferring schemas, roles and process to a system, or to load a snapshot from the server.

Process Models as Part of a Project

enaio projects now contain DMS schema, rights system, scripts and workflow models. Projects are saved in the local file system, making it easier to transport business solutions between systems.
As before, process models are created and edited in enaio designer and can be deployed to a server. Once deployed, the process model administration is performed in enaio management-studio. In enaio management-studio, administrators can create process groups, move models to groups, activate the models, and so on.

After the upgrade, existing project files from enaio redline 3.3 do not contain the process models. To include them in the project, a user must create a snapshot of the system in designer and copy the process models from the snapshot to the project.

Projects can be Edited in Offline Mode

enaio designer allows projects to be edited without an active connection to a server. If a server connection is needed for an action such as schema validation or process-model deployment, the user is prompted to select the server and provide login data.

Virtual Folder Configuration

A new ‘Configuration’ aspect is available for folder types in the schema editor. Use it to configure a virtual folder structure of the folder. For more information about configuring virtual folders, refer to https://developer.enaio.org/pages/viewpage.action?pageId=11436243 .

Process Model Activation

Process models are now activated or deactivated in management-studio (Processes > Models) instead of in designer.

New Default Access URL

The new default access URL for management studio is /enaio/management.
